President
The President serves as the leader and face of the Monash Indian Cultural Society (MICS). They are responsible for guiding the committee’s vision, ensuring smooth coordination of activities, and overseeing both committee and general meetings. The President represents MICS at university events and external bodies, acting as the main spokesperson and advocating for the society’s interests. They also play a key role in endorsing important documentation, particularly for off-campus events, and ensure that all requirements are met. Additionally, the President maintains transparent communication by presenting updates and submitting annual and general reports that reflect the society’s progress and activities.
Vice-President
The Vice-President is a pivotal leader within the Monash Indian Cultural Society, dedicated to supporting the President and upholding the society’s mission of fostering Indian culture. They assist in coordinating events and activities that celebrate and promote cultural values, stepping in to lead committee and general meetings when the President is unavailable. The Vice President is prepared to take on the President’s responsibilities to ensure continuity if the position becomes vacant. Additionally, they lead the First-Year Representatives and subcommittee, nurturing leadership and encouraging development among new members. Their commitment to cultural advocacy and support helps maintain the society’s vibrant community and smooth operations.
Treasurer
The Treasurer is responsible for overseeing and managing the financial health of the club. Key duties include attending meetings, maintaining accurate financial records, and preparing budgets for every event. The Treasurer handles all club transactions, ensuring prompt deposits and issuing receipts for received funds. Additionally, the role involves authorising payments, requiring dual signatories for checks, and coordinating with the Clubs & Societies Council on financial matters. The Treasurer must also prepare financial reports for the Annual General Meeting (AGM) and regular audits, ensuring transparency by allowing at least one other committee member access to financial records.
Secretary
The Secretary of MICS plays a vital role in ensuring effective communication and organisation within the club. Key responsibilities include notifying the C&S Executive of their appointment, preparing agendas, and recording minutes for meetings. The Secretary also serves as the Returning Officer during elections (unless decided otherwise by the committee) and manages the club’s membership register. Additionally, they handle all correspondence by regularly checking the club’s mail, overseeing timely responses, and maintaining an organized record of all inwards and outwards communication. The Secretary provides an annual report at the Annual General Meeting (AGM), contributing to transparency and accountability.
Co-Events Director
The Co-Events Directors are essential to MICS, overseeing the planning and execution of events that celebrate and promote Indian culture. They collaborate to identify and secure suitable venues for a variety of club events, ensuring compliance with both university and external venue guidelines. Acting as senior event managers, they play a key leadership role during off-campus events, coordinating logistics and overseeing smooth operations. The Co-Events Directors work closely with the Treasurer to maintain budgetary control and ensure event expenses align with financial plans. They also liaise with venues to arrange setup times, vendor requirements, and align event details with the club’s vision.
Assistant Treasurer
The Assistant Treasurer of MICS supports the Treasurer in managing the club’s finances and attends all committee and general meetings. A key responsibility is preparing and submitting grant documentation to the Clubs & Societies (C&S) Council, ensuring the club accesses available funding. This role involves assisting with various financial duties as directed by the Treasurer and the committee, providing essential support to maintain smooth financial operations and accurate record-keeping for MICS.
Communications Director
The Communications Director of MICS oversees the club’s external communications and social media presence, including platforms like LinkedIn. Key responsibilities include attending meetings, assisting the Secretary, selecting and managing the subcommittee, and delegating tasks to subcommittee members. Additionally, the Communications Director ensures active engagement on social media and works to maintain a positive and motivated atmosphere within the committee. This role supports cohesive communication efforts and promotes MICS through various channels, enhancing the club's visibility and community spirit.
Sponsorship Director
The Sponsorship Director of MICS is tasked with securing partnerships and sponsorships to support the club’s growth and benefit its members. Key responsibilities include attending meetings, establishing sponsorship agreements using C&S-approved templates, and negotiating member perks from affiliated businesses. This role focuses on building valuable relationships that enhance the club's resources and visibility while delivering additional value to members. The Sponsorship Director may also take on additional duties as determined by the committee.
Co-Marketing Director
The Co-Marketing Directors of MICS are responsible for managing the club’s brand and public image. Their key duties include attending meetings, handling public and media inquiries, and overseeing all branding and promotional efforts. They plan, develop, and execute marketing strategies for events, conferences, and launches, ensuring effective outreach and engagement with the community. Together, they play a crucial role in enhancing MICS’s visibility and reputation by organising and managing advertising across various platforms, creating awareness, and driving participation in club activities.
Subcommittee Representative
Subcommittee Members of the MICS play an essential role in supporting the club’s directors across the Marketing, Events, and Sponsorships departments. Their main responsibilities include assisting in the planning, organisation, and execution of events that showcase and celebrate Indian culture, ensuring each event runs smoothly. Throughout the year, members rotate between departments based on their preferences, allowing them to gain a broad range of experience within the club’s operations. Additionally, Subcommittee Members act as Sales Representatives, promoting and driving ticket and merchandise sales. Applications for the subcommittee typically open in October each year, inviting enthusiastic members to join and contribute to MICS.
First-Year Representative
First-Year Representatives of MICS are enthusiastic newcomers who play an important role in supporting the club’s activities. Similar to Subcommittee Members, First-Year Representatives assist the Marketing, Events, and Sponsorships departments in planning, organising, and executing events that highlight and celebrate Indian culture. However, their role places a stronger emphasis on promoting and driving sales. They actively contribute by selling tickets and merchandise, with rewards for achieving specific sales milestones. This role provides first-year students with a comprehensive introduction to club operations and valuable teamwork experience. Applications for First-Year Representatives typically open in March/April each year, inviting new first-year students from any university to join and contribute to MICS.
Ancillary
Ancillary Members of MICS are experienced individuals who have dedicated significant time and commitment to the club. This role is typically offered to long-tenured committee members who transition into an advisory capacity, leveraging their knowledge and experience to support and guide the new committee throughout the year. Ancillary Members provide valuable insights, mentorship, and strategic advice to help ensure the smooth operation of the club and the successful execution of its events and initiatives. Their presence fosters continuity within MICS, bridging past and present committee efforts to uphold the society’s tradition of celebrating and promoting Indian culture.
